When Flights to Italy Are Least Expensive

Italy airfares are currently climbing due to events in the Middle East. Accounting for geopolitics as part of trip planning poses its own unique challenges. Even with this new reality, it is possible to find affordable fares and build an itinerary that works within a budget, although it may require making certain adjustments.

Several major factors shape ticket prices: time of year, departure airport, number of connections, and travel flexibility. August, for example, is one of the most expensive times to fly to Italy, and travelers need to think carefully about where they are going, because the most-touristed cities and trendy seaside locations can be extremely hot, crowded, and expensive.

Apart from major holidays, most other times of year offer lower airfares—sometimes much lower—particularly in the late fall, winter, and early spring. Italy's shoulder seasons—May and June, September and October—often provide a strong balance of reasonable flight costs and better travel conditions.

There will always be a bottom floor beyond which airfares will not fall, however, so at a certain point, twisting yourself into a schedule pretzel is not worth it.

Many of us, with schedules bound by work, family, and other obligations, cannot just decide to take vacation time whenever we wan. Therefore, we can’t adjust our travel dates to take advantage of the least expensive flights. While an early-October Italy trip might be ideal in terms of costs and season, it is often impossible for those with school-aged children, for example.

Even if your travel dates are fixed and fall at the busiest times of the year, airfare costs can be tackled in other ways. This requires thinking about the trip as a whole. Expenses can often be reduced by adjusting other variables—flying into one city and out of another, departing from a different airport, or combining international and regional European carriers to reach smaller cities. Depending on where you're going in Italy, flying into someplace like Perugia, as opposed to Rome, may bring you closer to your destination, with the added benefit of avoiding Italy's most crowded airport and more expensive airport hotels the night before you depart.

When to Book Flights to Italy

The standard advice is to book early, and generally it's true that prices rise as a travel date approaches, particularly during peak season. But “early” does not necessarily mean months in advance, and booking before you're confident in your plans carries its own costs — change fees, cancellation penalties, and the time spent undoing decisions you weren't ready to make. Our approach is straightforward: book when you know what you're doing and are as confident as you can be that your plans won't change. That point is different for every traveler, and we discuss with each client how much flexibility they need and how to build an itinerary that accounts for that.

Where to Book Flights to Italy

We generally advise clients to book directly with the airline whenever possible. When you do, the airline is responsible for managing your rebooking if something goes wrong — a cancellation, a significant delay, a missed connection. When you book through a third-party platform, the airline will direct you back to that platform to resolve the problem, at exactly the moment when you least want to be navigating a customer service maze. Some third-party booking sites are best avoided altogether; others are generally fine. But even with the better ones, booking direct is simpler and offers cleaner protection when things go sideways. Of course, given the state of the airline industry, booking directly does not guarantee that any problems that arise will be sorted out without any difficulties, but it does give you direct access to the service provider.

We discuss platform options with clients and flag the ones to avoid. If you are finding a fare that is substantially lower than that offered by an airline directly, you are likely going to find yourself in a pickle if there is a problem. When we were younger and less travel savvy, we tried to save $200 on Italy flights by booking with a travel company that, as it turned out, was based in India. When our entire itinerary was upended by a winter storm, we were unable to reach them. A kind-hearted airline agent finally helped us, but only after I stood there weeping and threw open my coat so that she would realize that I was pregnant.

Unless you want to carry a pillow to stuff under your shirt at strategic moments, it is usually better to book with the airline.

Baggage Fees and Packing For Italy

Baggage fees are part of the true cost of an airline ticket. For large groups, they can be quite substantial. Policies vary significantly by carrier, and allowances vary by fare class. Whether someone in the party holds an airline credit card or has premier status on an airline can also make a substantial difference, as often these travelers get free baggage for themselves and those on their reservation. In many cases, it makes sense for that person to book everyone's flights and for their companions to reimburse them, because their baggage benefits will extend to everyone in the party. (Booking on a single reservation can also be important for other reasons.)

We discuss baggage with clients as part of planning, including their approach to packing and shopping. The latter matters more than people expect. Travelers to Italy tend to come home with things — specialty foods, olive oil, wine, clothing, ceramics — and a suitcase that had room on the way over may not on the way back. One practical solution is to pack a lightweight, squishable duffel bag in your luggage on the way out. There are even ones with roller wheels. It takes up almost no space when empty, and you fill it as you go rather than lugging a second or overly large suitcase the entire trip.

How We Have Helped Italy Travelers Find Affordable Airfares and Design Rational Itineraries

Montana, Naples, Milan

We worked with a client who lived near three Montana airports and was traveling in August — one of the most expensive times to fly to Italy. They could only shift their dates by a day or two in either direction. Fares were coming in at over $1,500 per person, pushing the trip into the unaffordable range. The connections were tight and they would be routed through one of Europe’s busiest hubs at the height of the summer travel season. Having transited through this airport ourselves many times, we knew they would, at best, be sprinting like mad people and, at worst, standing in front of a closed boarding door unable to get on to their connecting flight to Italy. They only had about eight days of vacation, and a missed connection could have significantly cut into their time.

We helped them rethink their itinerary within Italy and found them a flight from Billings, Montana to Naples, with a return from Milan to Butte. The fare was $400 per person less and in a higher class of service. It had only one stop in each direction and comfortable connection times, such that on the way to Italy they would be able to calmly make their way through customs and passport control at their European layover city. We researched the specific trains they would need to take to move around within Italy given their new routing and included these in our cost calculations. In every respect—logistics, expense, comfort, stress—our trip plan was an improvement.

Newark, Warsaw, Gubbio

In another case, we worked with a family of eleven traveling to both Poland and Italy. Their plan was to fly to Warsaw, use a low-cost carrier between Poland and Italy, and then return to Warsaw in order to fly home. They were on a tight schedule, and the flight from Italy back to Poland, back to the US was cutting it close in terms of connections. By rerouting them onto a single itinerary with a major carrier — flying into Poland and out of Italy — we eliminated the low-cost carrier leg and the need to go back to Warsaw. We also identified a better departure airport on the US side and determined which Italian airports made sense for arrival and departure, factoring in rental car costs and one-way drop-off fees. The result was $250 less per person in airfare alone, or roughly $2,750 for the group, before accounting for the additional savings on the ground.
