While some may think a trip planner is an added expense, Italy Within Reach’s planning fees pay for themselves in better choices and avoided mistakes.
Our Services
Where we begin. We begin with a detailed pre-planning conversation and develop a comprehensive travel plan around it. If you already have elements of your trip planned, we adjust our services and fees accordingly.
Specific destinations. Not regional suggestions. We recommend specific places for you to go and explain why they are right for you.
Specific flight recommendations. We evaluate departure airports, connections, carriers, timing, baggage costs, and door-to-door logistics to find the best fare for your actual situation, not just the cheapest ticket on a search engine.
Specific lodging recommendations. We identify properties that fit all your needs — location, price, sleeping arrangements, amenities, character. We communicate with properties, if there are specific issues you need clarified.
Ground transportation planning. How to get between cities, when to take the train versus rent a car, and what the real costs are. Where train schedules allow, we recommend specific trains based on connections, comfort, and what works for your pace.
Timing and seasonality guidance. When to go given your constraints, what to expect, and how to build an itinerary that accounts for crowds, heat, closures, and local rhythms.
Food, wine, local life, and things to do. Specific restaurant recommendations and advice on when and how to make reservations, what to expect at the table, and wine suggestions by area. Local crafts, regional specialties, things to do, famous and lesser-known sites.
Physical needs and mobility. Our itineraries account for walking distances, steps, luggage handling, and any physical limitations you may have
Group dynamics and travel temperament. Based on how your group travels together — whether everyone moves as a unit or needs independent time, how the group handles stress, and other factors — we build itineraries that match the actual people traveling.
Travel flexibility and insurance. We research options, compare policies, and advise on the coverage that makes sense given your specific circumstances.
The details nobody tells you. From navigating Italian roundabouts when you can’t read the signs to Italian coffee culture, we cover the practical realities of traveling Italy, so you’re prepared.
Written itinerary and companion document. You receive a written itinerary and a companion document with other insights and advice tailored to your trip and needs.
One round of revisions. After delivery, we revise the itinerary to adjust pacing, destinations, or emphasis until it is exactly what you’re looking for. We can make further revisions for an additional fee.
Clients make all bookings directly with service providers and remain in full control of final decisions.
Pricing

A short, focused trip to one or two places. Planning fee will be toward the higher end for larger groups, multiple destinations, or complex flight logistics.

A balanced itinerary combining major cities and quieter destinations. Planning fee will be toward the higher end for families and groups or itineraries spanning three or more regions.

Multiple regions, slower pacing, or family and group planning. Planning fees will be toward the higher end for large groups, mixed travel styles, or itineraries requiring extensive transportation coordination.

An extended tour across multiple regions and cities. Priced individually based on scope — contact us to discuss.
Why do you list ranges, not exact amounts?
Pricing is based on trip length and adjusted for complexity, number of travelers, and destinations. A couple traveling for five days is a very different project than coordinating arrangements for ten people traveling for the same amount of time. In addition, not every client needs the same level of support.
Before we begin, we will tell you your exact fee based on the pricing ranges listed below.
